Key Responsibilities:
1.
Daily Shop Operations:
Conduct daily briefings for shop staff, including student helpers, to communicate key priorities before opening of shop.
Ensure all customer inquiries and complaints—via email, phone, or in person—are handled courteously and promptly.Manage the monthly shift roster, assign tasks (such as cleaning and restocking), and ensure adequate coverage on the sales floor.Verify that all products are accurately priced and displayed in both the physical shop and pop-up stores.Exercise sound judgment when applying discounts, processing returns, and voiding orders within established limits.Organize and maintain the shop’s storage and warehouse.2.Inventory Management:
Oversee the receiving process for new shipments, ensuring quantities match purchase orders.Investigate and report any significant discrepancies in stock to the shop manager.Manage stock entries, transfers, adjustments, and other movements across various systems.
Provide weekly updates on stock availability for transfers between the warehouse and both physical and online shops.
Handle POS backend administration tasks, including creating and managing product codes and gift certificates.Coordinate and execute regular cycle counts and annual stocktakes, reporting findings as necessary.3.Product Sourcing, Planning, and Procurement:
Partnership: Arrange consignment products for display and order fulfilment.
Prepare monthly consignment reports for partners and follow up on purchase orders.Planning: Collaborate with shop manager to consider product suggestions from departments, customers, and staff for new product offerings and additional orders of existing items.
Monitor best-selling and slow-moving items, reporting on new product trends.Sourcing & Procurement: Place all purchase orders (excluding new souvenir items) for stock with low inventory.
Submit order amendments when necessary and manage the order-to-delivery cycle.4.
Support for E-commerce, University Events and Promotions:
Assist with e-commerce initiatives by executing online marketing strategies, including production of content on email marketing campaigns, online shop and social media promotions.
Initiate product lists for each promotion for discussion with shop manager.Lead the setup of promotional displays and signage within physical shop and pop-up booth.
Manage inventory and product transfers to and from promotional locations.5.Back-End Administration:
Prepare various financial reports, including sales breakdowns by product type, payment method, departmental sales, and accounting entries, inventory report, etc.
Submit operational expense reports for services such as courier deliveries and shop supplies (e.g., distilled water, POS stationery, acrylic displays, etc.).Flexible to support when emerging requirements from the team as needs arise.What We're Looking For:
A bachelor's degree or equivalent, preferably in a relevant field such as Business Administration, Retail Management, Supply Chain Management, or Communications.A minimum of 5 years of store management experience in retail sales and/or e-commerce.Self-motivated, customer-focused, results-oriented, and highly organized, with the ability to work effectively in a team environment.Responsible, detail-oriented, and able to manage multiple projects while meeting deadlines.Familiarity with design guidelines, including brand guidelines, website guidelines, and digital display guidelines.
Strong communication and interpersonal skills.Knowledge of souvenir trends and best practices in logistics and channel management.Experience in sourcing and fulfilment is a plus.Excellent command of Cantonese, Mandarin and English.Required to work a flexible schedule that includes weekends and select weekdays.Candidates with less experience may be considered for the Shop Associate position.What We Offer:

The position is based on a 5-day work week on shifts (including weekends) and is offered under a two-year renewable contract.
Starting salary will be commensurate with qualifications and experience.Fringe benefits including annual leave, medical and dental benefits will be provided.A gratuity will be payable upon successful completion of contract.
